Some Excel users may need to shorten the spreadsheet file so that it can be attached to emails. Compressing the Excel file into a ZIP file like WinZip might seem like the most obvious way to do it. However, users who may try to compress their Excel XLSX files are surprised to find that this often does not affect the file size. In an article posted on the MS support website, one user said:
I am intelligently trying to send data to a colleague whose mail server has a new 10MB attachment limit. The Excel file is 18 MB in size because it was downloaded Suffered from an external source. Tried deleting unnecessary data and compressing the file, but the size did not decrease.
File data compression software such as WinZip has limited impact on Excel XLSX files if they are already compressed files. Therefore, some XLSX formats already use ZIP data. Format compressed XML files which can be explored by changing the Excel file format to zip in File Explorer. Therefore, compression utilities cannot compress the XLSX file to a greater extent.
users should look for alternative methods to reduce the size of Excel files or split Excel sheets. One of the best ways to successfully flatten an XLSX file is to save it as an XLSB selection. XLSB is a binary file structure for Excel sheets that requires much less disk space.

Also, if you need to create zip files and see software that cannot be significantly compressed, it is probably because it contains data that is already compressed or encoded. If you want to view a file or files that don’t compress well, do the right thing: compress photos to email them, then resize them.
- If saving the file in XLSB format does not reduce the file size enough to attach to an email, customers can submit the spreadsheet via Google Drive instead. To do this, simply click the “Create Google Account” button on the Google Account Help page.
- Then in the store, fill in the text boxes to create a Google account if you don’t already have one.
- Sign in to your Google account.

So don’t waste time compressing XLSX ZIP files. Instead, save them as XSLB files to reduce their size. If the content is too large for email attachments, then you need to share the spreadsheet through cloud storage, such as Google Drive or OneDrive.
