Fixed Extra Carriage Return In Outlook

Over the past few weeks, some users have encountered a known error with optional carriage return in Outlook. This problem can arise for several reasons. Let’s discuss this now.

When you view an email signature as plain text in Microsoft Outlook, everything looks correct.

When recipients receive and view, carriage return is suppressed, making it difficult to read the electronic signature.

An example of plain text is very simple and straightforward:

 This is the first line.Line 2: blaLine 3: blah blahLine 3: blah blah blah 

If a message appears in your Outlook inbox, it looks like this:

 This is the first line. Line 2: bla Line 3: bla bla Line 3: bla bla bla 

Notice how the carriage return has been removed between each line.

This behavior is not due to the code that generated the email, but to the way Outlook displays the message. (For example, Gmail displays carriage returns as expected.) Outlook removes what it detects as unnecessary carriage returns.

When you open an email in Outlook, you will see a small information bar at the top of the email explaining that Outlook has removed the extra line breaks and you can click to add Put them back:

You can configure Outlook so that these carriage returns are never removed by going to Outlook Options, Mail and unchecking the Suppress extra line breaks in text messages.

  • Of course, informing customers that the problem has been solved and that they need to do something about it is never the best strategy.
  • IT Pro: The good news is that you can use a GPO (Group Policy) to disable the setting so that Outlook does not automatically remove line breaks.

Workaround if you don’t know the GPO (Group Policy)

Indent each line by three or more spaces.

This tells the copy of Outlook not to confuse line breaks.

Reason

By default, the option Remove extra line breaks in text messages in Outlook is selected. Therefore, if a line break is found, it is removed (if there are two or more consecutive line breaks, they are not removed).

Method 1. Disable The Function To Remove Extra Line Breaks

This method disablesfunction for all text elements. To do this, Follow these steps:

For Outlook 2010 and later:

  1. Open Outlook.
  2. On the File tab, click Options.
  3. In the Options dialog box, click Mail.
  4. Under Message Format, clear the Suppress Extra Line Breaks in Text Messages check box.
  5. Click OK.

For Outlook 2007 or earlier:

  1. Open Outlook.

  2. From the Tools menu, choose Options.

  3. On the Settings tab, click the Mail Settings button.

  4. Click to turn off Suppress Extra Line Breaks in Text Messages. Checkbox.

  5. Click OK twice.

Method 2: Use HTML Or Rich Text

HTML or rich text can be used when creating new elements. Or You can edit existing posts in these formats.

New posts

You can change the format of individual messages or for all Advertising. To change the format of all messages, do the following:

For Outlook 2010 and later:

  1. Open Outlook.
  2. On the File tab, click Options.
  3. In the Options dialog box, click Mail.
  4. Under “Compose messages” click “HTML” or “Rich text in” drop-down list Create messages in this format.
  5. Click OK.

For Outlook 2007 or earlier:

  1. Open Outlook.

  2. From the Tools menu, choose Options.

  3. Click the Mail Format tab.

  4. In the Message Format section, click HTML or Rich Text.

  5. Click OK.

When creating an article, you can change the format individual message. To do this, follow these steps:

For Outlook 2010 and later:

  1. Open Outlook.
  2. On the Home tab, click New Items, and then under Other Items, click Publish To This folder.
  3. On the Text Format tab, select As HTML or As Rich Text in Formatting section.

For Outlook 2007 or earlier:

  1. Open Outlook.

  2. On the File menu, click New and then click Publish to This Folder.

  3. In Outlook 2007, click HTML, or on the Options tab, in the Format group, click Rich Text. In Outlook 2003 or Outlook 2002, click Simple Text, and then click HTML or Rich Text.

Existing Posts

  • In Outlook 2007, with a publication item open in the Discussion tab of the Actions group, click More Actions. Then click “Change”. Content before format change.

  • In Outlook 2003 or Outlook 2002, open a publication item, click Edit, and then click Check Content before changing the format.

Method 3. Repair Line Breaks In Outlook 2003 Or Outlook 2002

You can use this method to repair deleted line breaks. To do this, follow these steps:

  1. Open Outlook.
  2. Open the message.
  3. Click Format.
  4. Deselect the Extract Text checkbox.

Note. This option is not available in Outlook 2010 or Outlook 2007.
